EV Delete Stubs from Mailboxes

Hello All

We are using EV 10.0.3 for Exchange (2003).

We are in the process of de-integrating one of our businesses from our network and they will not be using EV.  2 years archived emails are being restored directly into the mailboxes and anything older is exported to .pst files.

The question is how to delete ‘STUBS’ older than 2 years from mailboxes?

Once we have cut-off the links between us and the business they will not have access to the EV servers.

Any advise will be appreciated.

  • You could just set the policy to delete shortcuts older than 2 years.  You would need to have all those users in their own provisioning group to restrict it to them.

  • If you are using "Export to the original mailbox" from the EV admin console, EV shortcuts should be deleted automatically from the mailboxes. However, for data exported to PST, EV will not delete the shortcuts. You need to use another tool to remove these shortcuts from the mailboxes. These messages has a specific IPM message class: IPM.Note.EnterpriseVault.Shortcut. There is a tool called exmerge that might help you to perform this task. Take a look a this Microsoft blog:

  • This document is aimed at Exchange 2007/2010, we are using Exchange 2003.

  • You could just set the policy to delete shortcuts older than 2 years.  You would need to have all those users in their own provisioning group to restrict it to them.

    Removing messages on Exchange 2003 and Exchange 2000 using ExMerge

    The ExMerge utility can be used to extract mail items from mailboxes located on legacy Exchange Server versions. Follow the steps in KB 328202 HOW TO: Remove a Virus-Infected Message from Mailboxes by Using the ExMerge.exe Tool to remove unwanted messages from user mailboxes.

    You can also update the archiving policy to delete the shortcuts. However, if the users don't have access to the EV servers or the EV Servers are decommisioned then this option wouldn't work.

  • Not sure Exmerge is what is needed to be honest as they are already exporting archived items to mailbox for the last 2 years then they just want to delete shortcuts that are older than 2 years old.

     

    Like Tony said, simply use Shortcut Deletion from the Exchange Mailbox Policy.
