Moving Archived Email From Mailbox to Public Folders

Afternoon all,

 

Quick version:  Is it possible to move an archived email shortcut from a mailbox into a public folder and have this shortcut accessible by other users?

 

Longer version:

I'm in the horrible situation of being 6 months into a seemingly complex and fraught EV for e-mail rollout. I've had a user report that they cannot access an archived email in public folders that was placed there by another user. It seems it was moved after being archived in the user's mailbox and as such is only accessible to the original user.

We are very heavy users over public folders to share project related e-mails and prior to the EV implementation had close to 2TB of public folders alone. For users to not be able to move shortcutted email into public folders would be a total nightmare so any advice, either technical or procedural, would be great.

  • Yes, you are correct that technically there isn't a solution for shortcuts moved into a Public Folder by a user.  One of the EV partners might be able to code you up something.  Depending on how often this occurs and your companies budget it might work for you guys to engage them. 

    A few off the top of my head would be http://www.vault-solutions.com/ , http://evtools.net/ , or http://globanet.com

    Archiving process archives a message in mailbox of user A

    User A, moves the placeholder to Public Folder

    User B tries to retrieve from the moved placeholder --> Error

    Why? Because User B has no permissions on the archive of User A

    What to do?

    From the Enterprise Vault Administration Console, go to the container archives, locate user A, security tab and grant B permissons on the archive of A.

    From the archiving task--> tab Synch, synchronize all mailboxes, marking the checkbox to synch permissions.

    Close Outlook. Reopen. Retry.Should work

    I do not know if you can extend this solution, but this is how it works.

  • the quick answer is no, unless as Gonz suggested you want to give users permissions on the archives.  Most likely that will be a no go.

    You will need to educate users to restore items they wish to put into Public Folders before moving them over.

  • I think Tony is right.  It's a tricky one, but, the thing IN the public folder is a shortcut to the archived item.  To get the archived back, we have to go to where it is archived, and that's in the original user archive :(

    I can see the issue here that whilst EV will "move" the email within a users store if they move the pointer to another sub-folder of their mailbox however it isn't possible to move it from one store to another.

     

    I can see this causing us major headaches going forward and I don't think giving everyone permission to everyone's mail store will fly with the company.

     

    So am I right in thinking there is no technical solution going forward? Nor a way to locate those existing pointers that have been moved into the public folders?

    I've sent out some guidance notes to the end users as a stop-gap and engaged with EVTools to produce a scripted / application to resolve the issue.
