Archived item size is larger than the original item

Good morning all, 

I hope someone could provide me with a few pointers to this rather strange issue. 

- Enterprise Vault 9.0.4

- Microsoft Exchange 2010

- Windows 2008 R2 Standard

The Shortcut Content of the Default Exchange Mailbox Policy is set as follows:

Just recently, we have realised that items with embedded graphics do not compress very well, in most occasions the shortcut size is larger than the original item size, which ultimately uses more space in the user's mailbox.

Firstly, has anyone come accross a similar issue? If so, is this a known issue? Are there any work around to avoid this? Has this been addressed in any future version?

Shortcut Size Estimations

1. Where shortcuts are not being created and and the original items are being deleted there is a saving equal to the size of the item.

2. Where shortcuts replace items using custom settings the size is calculated as follows:

  • Base item 3KB
  • Plus 3KB for Banner
  • Plus 1KB for Recipient Information
  • Plus the number of characters to keep x 1 (adjustable via multiplier)

3. Where shortcuts replace items but the original body is kept:

  • Base item 3KB
  • Plus 5KB for the average body
  • Plus 1KB for the recipient information

4. For calendar items where stripping attachments:

  • Base item 3KB
  • Plus 5KB for the average body
  • Plus 1KB for the recipient information

In all cases where the shortcut estimate is larger than the original item, we set the estimate to be equal the size of the item

Good information :)

It's worth remember that if you do use message body then that will be the source of one of the problems that the resultant message in EV will be bigger... and you'll not be reducing the size of the users mailbox, at all.
