Enable Vault cache and Virtual Vault for large number of users

We recently upgraded from Enterprise Vault 2007 to Enterprise Vault version 8, SP4.  We plan on moving to version 9 SP1 in January.  We would like to enable Virtual Vault at some point in the future, likely after moving to version 9 sp1 so that we can roll out Office 2010. 

We do not used Cached Exchange Mode on our Outlook Clients.  We do have laptop users that travel and use Vault Cache for their Vault when they are offline.  For this to have worked, we also use the EV policy setting "Do not require offline store" so that we could enable the vault cache for these users (due to our outlook configuration)

 

I know that the documentation states that because we do not use outlook stores, that when we enable vault cache for users, there is a larger "hit" against the network and Enterprise Vault server.  The user's vault must be sync'ed from the server during initial setup. 

 

Is there a recommended way forward for when we decide to use Virtual Vault for all users? Using Virtual Vault requires the use of vault cache.  However, as 80% of our users are part of the same retention category and policies, I'm afraid that if we enable this option, we will cripple our network and vault servers. 

 

Has anyone gone through this exercise before or have any recommendations?  We have about 2500 users globally across 4 Enterprise Vault Servers.

Vault Cache is by default defined to use 20GB of space and 10 concurrent connections I believe. Check this on the properties of the EV-server in the EV Console, the Cache tab.

To see what is actually happening, you can open a aspx page on the vault server itself.

You have to be logged in as VSA to see what actually is happening. The page is : http://evservername/enterprisevault/vcview.aspx

You'll see if cachefile are being built and downloaded. EV builds chunks of 10MB, then transfers those to the clients using BITS. When confirmed to have arrived properly, the chunk on the EV-server should be deleted, and the next slot comes available.

 

In your case, I would create different provisioning groups and desktop-policies.

Provisioning groups to differentiate between laptop and desktop users.

Desktop policy to differentiate between vaultcache users and virtual vault users.

Provisioning group: as you cannot use computeraccounts to provision, use either a specific OU where you put the users in, or create a DL with the laptop users in it. Set the provisioning group targeting this above the 'normal desktop' users.

Assign the mailbox-policy to both provisioning groups (assuming you have only 1)

Create and assign the laptop 'desktop policy' to the laptop provisioning group:

In that policy, go to Vault Cache tab, and check 'Make Vault Cache Available for users" with 'Store all items", and enable 'Virtual Vault'. In tab 'Advanced', dropdown 'Vault Cache', set 'Offline Store required' to Yes. (have laptop users run Outlook in cached mode). If you have your laptop users run Outlook in online mode, then set 'Offline Store required' to no.

In the desktop 'desktop policy', go to Vault Cache tab, and check 'Make Vault Cache Available for users" with 'Do not store any items in cache", and enable 'Virtual Vault'. In tab 'Advanced', dropdown 'Vault Cache', set 'Offline Store required' to No. (have laptop users run Outlook in cached mode)

This way, your desktop-users will NOT get a full download for the Vault Cache, your laptop users will. You could start synching your laptop users asap to have that part out of the way. You might want to gradually put people in the DL, and ask them to come in the office to ensure good connectivity when building the cache on the laptops.

Maybe preemptive caching might relax it a little bit.

There is a limit on the concurrent Vault Cache build-ups, this will serve as some throttling, but it will also take more time to roll it out to all your users.

Is there a place to check the concurrent Vault Cache build-ups or adjust this setting?  I didn't see anything in the policies, unless it falls under the concurrent connection settings for the mailbox archiving task?
