Keep certain mails in archive longer

Hi,

One of our users would like to keep mails archived for a longer periode of time than the default in the archiving policy.

We use enterprise vault 11 with exchange 2010.

My first idea was to create the additional retention category and with evpm apply the retention category to a dedicated folder in the mailbox so the archived mails have this retention category applied.

Is this a good approach or are there beter ways to do this?

Yes, your approach is a good.

are the mails of a specific type? You could create an Outlook rule to automatically get these mails into your folder.

This would reduce the efford for the user, if there are lots of mails.

You also have the option to create a variety of Retention Categories and then use the Exchange Desktop Policy to enable the full client functionality in the Outlook Add-in. This will allow the user to override the default archiving settings for a given folder on the Enterprise Vault tab of its Properties page, including which Retention Category is applied to items in that folder.

 

This approach seems easier to me than EVPM, and it allows the user to control the setting himself. This means he doesn't have to contact you if he wants to change it back, or if his buddy sitting next to him wants to make the same change. The Exchange Mailbox Policy's "Archiving Actions" tab gives you granular control over just what he can and cannot adjust in this dialog.
