Manually archiving email from Outlook to reduce the Exchange Mailbox disk space ?

Hi People,

When using EV 9 client installed on the Outlook client, does selecting all emails (Ctrl+A) and then click on the manual store into the vault button can reduce the disk space in the Exchange server immediately ?

is that the case ?

I need to reduce some mailbox usage from one particular user immediately.

Depends on how the Vault Store is configured.

If it's configured to keep safety copies until after backup then the items will not be replaced by 'shortcuts' until after a full EV aware backup has been run.

Even if you have no safety copies or wait until the backups runs and the shortcut processing is completed you won't reclaim the storage space on the Exchange server.  You wil have resulting whitespace in the DB that cannot be reclaimed until additional Exchange processing.

Even then, you're probably still going to be left with whitespace that you would need to run a defrag on the EDB against, also remember that archiving is also going to grow your Exchange transaction logs as well, so what you may be saving in EDB space could be temporarily taken up with in Transaction log space (though it will be a fraction of the size to be fair)

ah I see, so in this case if it is to reduce the quota usage of one user only, I can manually select the largest email and then click on the manual archive button to begin reducing the mailbox quota ?

If you are just looking to reduce the size of a mailbox, then yes, manual archiving will acheive the result (again depending on the pending shortcut  configuration in your environment).

ok so in this case if it is triggerfile then it will be converted to placeholder after the full EV backup finished ?

correct, and the triggerfile needs to be having current date/time. (set/clear backup mode on vaultstore to trigger process)
