Tip...How to configure a EV Mailbox Policy for Leaving Users

These steps may be used when a user leaves the company and that user's mailbox needs to be immediately archived.


Zero Day Policy Creation


1. Create a new policy
 a) Policy > Exchange > Mailbox > right-click and select New > Policy.b) Provide a name and description for the policy and click OK.c) Right-click on the new policy and click Properties.
2. On the Archiving Rules tab, under Young items select 0 Days. Under Archiving strategy select 0 days.

3. On the Archiving Actions tab, uncheck Delete original item after archiving and Create shortcut to archived item after archiving and check Archive unread items.

4. On the Message Classes tab, select the message types to archive.

5. On the Advanced tab, under the Archiving General section set the value to On for Archive unexpired Calendar Events.

Create a new provisioning group


1. Expand Targets > Exchange > Domain name > Provisioning group > right-click and select > new Provisioning Group.

2. Click Next, enter a name for the new provisioning group and click Next.

3. Click Add > Windows group > select the user or users and select OK.

4. Click Next and select the new mailbox policy and use the default PST migration policy and click Next.

5. Select the correct retention category and click Next.

6. Select a vault store > leave as default, click Next.

7. Select a indexing service > leave as default > click Next.

8. Ensure automatically enable is unchecked and click Next > Finish > Close.

9. Right-click on Provisioning Group and click Properties, move the new group to the top of the list. Click OK.

Enable the Changes


1. Enterprise Vault Servers > EVServer > Tasks > right-click on the Provisioning Task > click Run Now in normal mode. Wait for the task to go from Processing to Running.

2. Right-click on the Archiving Task and click Run Now in normal mode.

3. Once all of the items have been archived the user can be disabled in Enterprise Vault and removed from Active Directory.

Last time I created an EmployeeTerminationPolicy the goal was to completely remove the user from Exchange.  One of the common occurrences is the practice of disabling/deleting the user's AD account.   I recommend modify this procedure to include running the EV Archiving on the mailbox BEFORE it is disabled\deleted.

 

I've also compiled a list of message classes to verify that all content is archived.  I use this list for full PST migration as well.
