Archive Migrations – Key Considerations Before Migrating

Archiving is a long-term commitment between a vendor and its customers.  If this relationship fails, as a customer, you are forced to look at new options and consider migrating to a new vendor.  Whether you are moving from one on-premise archive to another or going to the cloud, this process can appear daunting, however through the years we have watched customers go through the process successfully. Here are some best practices to consider before migrating.

Things to Consider Before Migrating:

  1. Be realistic.  Set reasonable time lines and budgets for completion of the project. It is also important to set expectations with key stakeholders from your storage, backup, IT operations, legal/eDiscovery and messaging teams.
  2. Maintain data integrity.  The migration process should migrate the original items, associated metadata and archive attributes such as legal hold. Integrity checking should be done during the migration itself and a process should be available to do  post-process integrity checking as well.
  3. Remember your reports. We often take reporting for granted.  During an archive migration, item level reporting is critical to maintain an audit trail for the data.  Migration status reporting is important to managing the project and for communicating with key stakeholders.
  4. Size the destination archive appropriately. It is critical to understand the amount and type of data that will be migrated (especially when it comes to journal archived data). Ensure the new archive environment is sized to handle both daily archiving and migration workloads.
  5. Don’t migrate it all. Over time, organizations can accumulate TBs or PBs worth of data – some is critical, some is not. Consider a solution that can help you migrate only what you need.
  6. Maintain data availability.  Provide end users access to archived content during and after the migration. Users such as legal teams will require access to archived content for discovery or hold requests. A migration should not cause disruption of access to the archive.  
  7. Choose the right migration partner. Migration solutions should support the version of the source environment and its unique archive content types.  As you evaluate vendors, make sure to select a migration partner that has experience with the archive you are using today. It is beneficial to involve a migration partner early in the planning phase.
