Shortcuts as attachments?

Hello,

We're having some issues with users forwarding shortcuts as attachments (i.e. create new e-mail, drag&drop an archived message into the new e-mail). Basically, one of two things happen: internally, only users that have access to the vault from which the attachment(s) came are able to open them (others are prompted for authentication) - external users are unable to open these at all.

Is there a policy or similar that automatically restores messages that are added as attachments? Or other solutions to this issue?

Any help appreciated.

Yeah, sorry, it won't work for OL 2010, "The Forward button on the Outlook toolbar does not work for Outlook 2010  (See article TECH142653 in the Related Articles section for further information) "

Forwarding multiple shortcuts
To forward multiple archived items in their original form, for example to a non-Enterprise Vault user, select the items in your Virtual Vault.  Alternatively you may wish to restore the archived items to your mailbox before you forward them.  Unlike previous Enterprise Vault Outlook Add-ins, you can not select multiple archived items and forward them in their original form, instead Enterprise Vault attaches the actual shortcuts to the forwarding email.

Workaround

Hi what version are you?

You can't drag and drop messages and have them added as original.  This technote explains how you can forward multiple items, it would be good to share with your users,

Hi Tony,

Thanks for your input. Version is 9.0 SP2 for both client and server, running in Outlook 2010.

I attempted the procedure listed in the technote, but unfortunately e-mails are still attached as shortcuts (by using forward button on Outlook toolbar).

That particular issue is a known issue with the HTTP client which has to be used for Outlook 2010.

 

 

HTTP-Only Outlook Add-In functionality in Outlook 2010

Enterprise Vault Outlook Add-In functionality in Outlook 2010 is always HTTP-Only. There are some differences from the HTTP-Only functionality in Outlook 2003/2007, as follows:

  • You cannot archive complete folders using the Enterprise Vault Store button or Store in Vault command.
  • You cannot use shortcuts to forward two or more archived items in their original form. If you select multiple shortcuts to forward, Enterprise Vault attaches the actual shortcuts to the forwarding email. To forward multiple archived items in their original form, select the items in your Virtual Vault. Alternatively, restore the archived items to your mailbox before you forward them.
  • There are no Enterprise Vault tabs in Outlook properties dialog boxes. In Outlook 2003/2007, the HTTP-Only Outlook Add-In adds an Enterprise Vault tab to the Outlook mailbox properties. So for Outlook 2010 users, you cannot initially suspend archiving (using the Provisioning Group Properties: Archiving Defaults tab in the Administration Console) and expect them to use the Outlook mailbox properties Enterprise Vault tab to start archiving.
  • If you select multiple items including some shortcuts and select Outlook Delete, the Outlook Add-In prompts you to delete the archived item and the shortcut, or the shortcut only. This prompt is expected behavior in all versions of Outlook, depending on the site and policy settings that control deletion of archived items and shortcuts.

    In Outlook 2010, the Outlook Ignore Conversation option (Ctrl + Delete) moves the current and future items in a conversation to the Deleted Items folder. With Ignore Conversation, you do not get the prompt. Outlook moves shortcuts to the Deleted Items folder. The archived items remain in the archive. This behavior is currently outside the control of the Enterprise Vault Outlook Add-In.

  • On the Outlook 2010 Enterprise Vault tab, Outlook adds the following text to each tooltip:

    Enterprise Vault Add-in. Press F1 for add-in help.

    F1 actually launches Outlook help, not Enterprise Vault help as the user might expect. The Enterprise Vault Outlook Add-In cannot prevent this text from appearing.
