expiry

there's a bit of a debate between my colleague and I regarding expiry of vaulted items.  item X is vaulted with a 2 year expiry time from vault date.  if the item is 5 years old and has not been touched since its creation date, will it automatically meet the expiry criteria and be immediately expired and deleted, or will it stay in the vault for the 2 year term and then be expired?

  • It depends what you have based your expiry on...if it's based on modified date the item will be expired immediately once you run storage expiry, if storage expiry is set to archived date then the item will not be expired until 2 years since it was archived have passed.
    Base Expiry on:
    Modified date: Items in archives expire at the end of the Retention
     Period. When you select Modified date, the start of the Retention Period
     is calculated as follows:
    For mail messages, this is the time since the message was received.
    For documents, it is the time since the document was last modified.

    Archived date: Items in archives
     expire at the end of the Retention Period.
     When you select archived date, the start of
     the Retention Period is the date the items
     were archived. This setting is useful if
    you import old items from other mail systems.
     If the items are very old and deleted items
    expire on sent/received date, then the items could expire immediately.

    if i vault an item, w 2 year expiration, then later decide to change my expiration to 3year, will the item vaulted at 2 years retain a 2 year expiration, or will it change to a 3yr expiration.

    When an item is archived the retention category associated with it is also stored (but not the value of the retention category). Effectively when it comes to the expiry run, it looks at the retention category on the item, and the policy of the retention category as it is now. Therefore by changing the category from 2 to 3 years means we won't expire the item till 3 years.

    It is vital that retention categories are understood and set up correctly before archiving of live data begins.Companies may take a long time to decide on their retention policies, so ask about retention policies as soon as possible. Once an item is archived you cannot change its retention category. You can change the name of the retention category and the retention period, but if an item is archived with, say, the ‘Business’ retention category you cannot then change the retention category to ‘Personal’ except by restoring the item and then re-archiving it. Retention category will only change for items archived in the future. If you want to change the retention category for items why not rename and change the properties of the existing retention categories? This will apply to stored and everything that will be stored in the future.If you later modify a Retention Category, the changes are retrospective. For example, if you have a Retention Category called Customer Accounts with a Retention Period of 5 years and you change the Retention Period to 10 years, then items that have been already archived with the Customer Accounts Retention Category will be retained for a minimum of 10 years.
