Enterprise Vault 8 w/EMC Centera

Our environment is currently running EV 8 with an EMC Centera storage device.

Ideally I would like it to perform in the following manor.

-Email messages that are older than 90 days get archived off and replaced with a shortcut
-Archived messages never expire
-Archived messages are deleted when the user deletes the shortcut
-After the user deletes the shortcut a message can still be retrieved for up to 6 months

I have the following configuration
-Mailbox policy archives messages older than 90 days, creates a shortcut, and deletes original message
-Desktop policy set to "Both Deleted" for shortcut deletion
-Site properties set so users can delete items from their archives
-Site properties set so items are not permanently deleted for 180 days
-Retention category set to retain items forever
-Retention category is NOT set to prevent deletion of archived items
-Vault store partition retention period set to never

The problem that I have is that my Centera is currently configured for "Governance" mode and my users are not able to delete from their archives.  My understanding is that in order to fix this there are two potential options.  1) I can set the retention category to retain items for 0 days or 2) I can have the Centera reconfigured for "Basic" mode.  My fear is that if I go with option 1 that if expiry was ever accidentally run that it would delete all of the data. 

Does anyone have a similar environment and requirements that can share their experiences with me?

Anybody have any thoughts or suggestions on how I should proceed?

Can anyone verify with certainty that if I have the Centera reconfigured that it will allow deletion without altering the retention period?

    I think your settings are correct.

    I'd go with basic mode centera if you have a chance to....

    You can play around with all the EV setting you want but until you allow deletes on the Centera nothing will ever be erased

    You need to change the mode of the data on the Centera or create a new pool on the Centera and set it to basic mode

    BUT

    Any items you have already archived on the Centera in it's present mode will not be erased. To make deletes on this data you will need to unarchive the data and rearchive it again into the new pool which is in basic mode

    There are tools to do this like Archive Shuttle from EVTools or you can always get Symantec Professional Services involved to help you make the transition


    now this part is a contradiction

    How can you set the users policy to delete items from the archive when you have the retention policy to never allow deletes. this makes no sense Either you allow them or you don't

    Maybe I'm misunderstanding

    Thanks for the response.  I beleive you misread what I wrote, there was a double negative in there.  Retention category is NOT set to "prevent deletion of archived items". Or are you referring to "Retain items forever"?

    I am still confused on two things.  From what I have read it sounds like a Centera in "Governance" mode should allow deletion if the Vault store partition retention period set to never.  According to the article posted above when the store partition retention is set to "never" Enterprise Vault creates Clips with zero retention periods.

    The other thing that I want to make sure of is that if I switch to "basic" mode will users be able to delete if the retention period has not expired?

    Yes, I think when set to never, you would be able to delete as it does create zero-retention periods.

    If you have set to basic, you will be able to delete.

    That is where I am stuck.  Documentation seems to indicate that as long as I write clips with zero-rentention periods that I should be able to delete.  I hate to go through the effort of data extraction, reconfiguration of the centera, and re-archiving everything just to find out I still have some other underlying cause.

    Currently when I go to delete and run a trace it fails with reason 0xc0041a57.  I have followed all of the guidance in http://seer.entsupport.symantec.com/docs/305382.htm with no luck.

    Here is a copy of the trace.  It appears to me that the Centera is responding that the data can be deleted.

    Here are the steps for conviences sake:

    If it becomes necessary to delete data prior to meeting the Retention Period time from a Compliance device then the following procedures can be performed.

    NOTE: This can only be performed if the Retention Period has been set to zero or has expired on the clip stored on Centera. If the item was stored with a 3 year retention, and using one of the retention options that writes non-zero retention to the clip it cannot be deleted until the 3 years have passed.

    1. Open the Vault Administration Console (VAC), right-click on the Site_name and choose Properties.

    2. Click on the Storage Expiry and ensure Never is selected under Process Vault Stores. If the value was changed to Never then restart the Enterprise Vault Storage Service for the change to take affect.

    3. Go to Site_name > Policies > Retention Categories in the VAC.

    4. Right-click on the name of the Retention Category that needs to be modified and choose Properties.

    5. On the General tab modify the Retention period to a time that is below the current level to allow the delete to occur (for instance 1 day).

    6. Ensure that Prevent deletion of archived items in the category is not checked and click OK.

    7. Perform the delete operation on the items or the archive.

    NOTE: Storage Expiry should NEVER be run in Normal mode when performing this procedure as it will expire all items that meet the reduced Retention Period.

    8. Once the delete is successful modify the Retention Period back to the original setting to allow Storage Expiry to run normally.

    However, my objective is to be able to allow users to delete archive content by doing nothing more than deleting the shortcut in their mailbox.  Can this only be done if the retention period is expired?  The reason that I do not want to lower the retention period is because I do not want expiration to come along and delete all of the data.

    You could work through the above as a test to see if it works.  That way you are sure it is the age on the retention policy preventing the delete.

    Testing this procedure in a lab environment it does appear to work.   I have a few questions.

    Are you not supposed to be able to ever delete data that the retention period has not expired?

    Does that mean that you only have two options. 1) you can expire data based on age or 2) you can allow users to delete data.. but you can never implement a comination of the two.

    Based on the configuration options of the software it would seem that the intent was to allow customers to delete data before the retention had expired.
