Delete vault from VaultInterest DB so archive can be deleted

Hi

I have an archive that I want to delete.

This archive has records in VaultInterest DB.

Is there any query I can run against the VaultInterest to remove those records without having to delete this case from the DA?

Hi,

 

Disabling of the 'Enable Archive registration task' in order to remove the Vault Interest, will prevent future archives from acquiring this protective feature.

 

Enable archive registration task :

------------------------------------

Specifies whether to enable or disable the archive registration task. By default, the task is enabled. If you disable it, a message prompts you to choose the required setting for the option "Discard existing archive registrations after you turn off 'Enable archive registration task'".

 

Disable the Hidden Setting: 'Enable Archive registration task' :

------------------------------------------------------------------------
1. Open the DA Client
2. Select the Configuration tab, then the Setting tab
3. Display hidden settings by holding the Ctrl button and mouse select the words Configuration Settings at the top of the results window.
4. Expand Vault Directory Synchronization
5. Locate and remove the check mark under the Value column for the Enable Archive registration task setting
6. Select Save in the bottom right corner
7. Repeat this process for each customer database
8 Restart the Customer Background Task for each DA Customer or the Enterprise Vault Accelerator Manager Service on the DA server.

Hello, Sarah;

We don't support removing entries from the VaultInterest table to allow archives to be deleted without first deleting all DA Cases (or CA Departments) that ran searches against the archives that need to be removed.  Deleting such archives can invalidate the data obtained by the searches as the items contained within those archives will no longer be available for review or export.

We do have queries that can identify what Cases or Departments have the interest on the archives.  We also do have a procedure for those customers that insist on doing this and send in proof that their legal team understands the impact of deleting such archives.  You'll need to open a support case to get what you need, though.

It's all a bit aimless really, because it deletes all the items and then right at the end it won't let you delete because of the constraint, so if anything, its just protecting the archive container and not the items contained within.

Because at this point, the items probably have already been deleted, and all thats happening is when you go in and out of backup mode, you're getting an error that the archive can't be deleted, but its completely empty, save for the entry in the VaultInterest table

As JesusWept3 noted, items within the archive can be deleted even with the interest in the VaultInterest table.  The only things that would prevent the archive contents from being deleted would be 1) items on Legal Hold through Discovery Accelerator search acceptance in a Case that has holds enabled or a Clearwell Collection that is also configured to place items on hold, 2) the archive is configured to not allow expiry, 3) EV is configured to not allow user deletions, or 4) the items in the archive are assigned to a retention category that does not allow items to be deleted until the retention period has lapsed.

As Advisor noted, the product could use some improvment to prevent an archive's contents from being deleted if there is an interest (in my opinion), but the Program Managers decided the current behavior is preferred.

The Move Archive processing is where we see most of the impact of the Vault Interest.  A pop-up alert is thrown when attempting to run a Move Archive operation on an archive that is noted in the VaultInterest table.  This pop-up can be worked around to get the contents moved, but the original archive will not be deleted until the VaultInterest table entry is removed.  Items on Legal Hold won't even allow the movement of any items in the archive, though.

As I noted in my first post to this thread, we do have an internal procedure to remove an archive's entry in the VaultInterest table.  This is due to customers running the Move Archive process and bypassing the pop-up alert about the interest.  We must have confirmation that the appropriate persons (i.e., Legal Counsel, Compliance Department, etc.) understand that the removal of an archive that has been searched by a CA or DA search will return errors when attempting to review or export items that had previously been in the deleted archive.  Once we have that confirmation, we can proceed with the process of removing the VaultInterest entry for the deleted archive.

We don't like to do this as it invalidates the data in the CA or DA customer database for the Department or Case in which the archive was searched and items found and accepted into the review set.
