Can't find archived items after client-driven PST migration

Moltron1

Hi,

I'm pretty new to EV so hopefully this is something simple.  I need to migrate our PSTs into the vault, and am experimenting with the client-driven method.  Its not quite working.  My computer is scanned for PST files, and their locations show up under Personal Store Management -> Files.  Some of them even migrated and now say Complete in the status colunm.

Thing is that I can't find any of the items that were supposedly archived.  There were 4 thousand calendar entries archived (or reported archived) as well as messages from another PST file.

In archive explorer from Outlook, there's not even a calendar.  I do see the calendar in the web based archive explorer but it contains nothing.

I'm running EV 10.0.1.  Outlook 2010.  EV is a single server, and my Exchange version is 2003.  Any ideas anyone?

Okay, this test has raised more questions.  So I created a new PST file, and made a folder in it called 123TEST, and then an email with subject 123TEST.  The client-driven method does not seem to pick up on PSTs attached to Outlook, so I detached it and it migrated it.

</snip>

It will but it only scans 'every so often' (default = 7 days).. look for LASTPSTSEARCH registry key.

<snip>

In the Outlook plugin, and on the Web based explorer I can do a search for '123TEST' and find the file.  It even says it is in the folder '123TEST' which is correct.  That folder however does not appear in the Outlook archive explorer or the Web based archive explorer.

</snip>

Right click (at least at the top node, perhaps other places) and choose 'Refresh'.  Archive Explorer caches the structure for 24 hours.

<snip>

To muddy things further, I did find those 4k calendar items.  They only appear in the web based archive explorer in a folder called "Outlook Data File", and if I try to search for them by subject, I don't get any results.  This "Outlook Data File" folder does not appear in the Outlook Archive Explorer.

</snip>

Let me see what I see for the name of the location. 'Search by subject' .. using what?  Integrated search, browser search, instant search in Outlook, Archive Explorer.

Refresh = key.

First of all, start with some screenshots of your PST Migration Policy from inside the VAC.  That will show us which message classes were archived, and also where (in the hierarchy) the items are likely to be located.

Would you need any more?

also, the policy does not create shortcuts.

Archive Explorer -> Did you try 'Refresh'.

Did you try 'regular' Search instead of Archive Explorer?

I have tried to search through the archive explorer via the Outlook plugin, and also through the web based search.  Just did a normal search via the Outlook plugin and didnt come up with anything.

I had dtrace running and it resulted in this "Event ID: 41027 PST Migration Report
Client-driven migration completed
PST file: \\MIS-Computer\C$\Users\moltron\Desktop\Old Desktop\Sort ME!\ISVacaCalendar.pst
Mailbox: moltron
Vault Id: 143C99EB8A072DC4D90C080190D8AF8921110000EVAULT
Retention Category: Keep Forever Retention Category
Number of folders processed: 6
Number of items archived: 4891
Number of items unable to be archived: 1"

Seems like it worked.

Was the PST file definitely ingested in to this archive?

I mean it sounds like it should have been?

Indexing is definitely running?

The PST file shows as completed, and the file was marked as read-only (like it was configured to).  I think indexing is running, from what I can tell.  There are no status alerts about that.  Also, when looking at the Index Volumes Browser, they all are online, and have lots of items indexed.  No missing items are listed.  Things "seem" to have worked, but I just can't find any messages or calendar items.

I'll add that - for normal mailbox archiving, we are not pulling in calendar items.  However, for the PST imports we are.  From what I have read, that shouldnt cause a problem though.

Also, when I enabled Client-Driven PST migrations, I never got the welcome email, or the finished email, and I did copy those .MSG files to the root of the Enterprise Vault Program Files folder.

...hopefully this all makes sense. :)

Yes it all makes sense.  I doubt that the 'welcome' and 'thank you' mails are related to the issue you appear to have.  After all you see the 'success' message.

I would construct a known PST file with known message subjects (just a handle) and try to reproduce the problem.

I'll try it now and report back.

Tried it.  Noticed in dtrace a lot of these COM error messages - here is part of it

What comes to mind is indexing.

Can you verify the index for the mentioned archive that receieved the PST is ok? Can you check to see if you have index-errors in the eventlog?

Is your Vaultstore perhaps in backup-mode?

It might be that (due to the amount of items) indexing is behind.

FWIW you get a LOT of those type of exceptions .. it's "normal".  In fact in my trace it even says that:

21756 15:50:50.488  [5892] (MigratorServer) <5096> EV:L {CSavesetOnIStg::get_AgentItemIdentifier} (Entry)

21758 15:50:50.488  [5892] (MigratorServer) <5096> EV:H {CSaveset2::get_AgentItemIdentifier:#1212} _com_error exception: [%1 could not be found.  (0x80030002)]

This is EV 10.0.2.

And the other exception is common too:

17622 15:50:43.905  [5892] (MigratorServer) <5096> EV:L {CMAPIMsgTraverser::GetMsgContent} (Entry)

17623 15:50:43.921  [5892] (MigratorServer) <5096> EV:H {CMAPIMsgTraverser::GetMsgContent} (Exit) Status: [<0x8004010f>]

17624 15:50:43.921  [5892] (MigratorServer) <5096> EV:M {CContentConverter::BuildHTMLMsgContent}|Fetching HTML version message content|AttachmentID: 0|Callback Status: <0x8004010f>

17625 15:50:43.921  [5892] (MigratorServer) <5096> EV:L {CContentConverter::BuildHTMLMsgContent} (Exit) Status: [Success]

17626 15:50:43.921  [5892] (MigratorServer) <5096> EV:L {CContentConverter::BuildRTFMsgContent} (Entry)

The 'Outlook Data File' reference ...  That's the name of the PST file.  Eg my PST file was called 'test data file.pst', so I see this in Archive Explorer:

Searching on subjects of items in that 'new' structure .. works fine.

Refresh is key - I'm seeing the light.  :)

I refreshed a couple of times in the Outlook plugin and I can see all the folders imported now.  I assumed the web based explorer would be refreshed by opening and closing IE, but nope had to right click there and refresh.  Anyhow, thanks so much for that!

Searching is still iffy -
What works - In Outlook I can click "Search Vaults" -> Advanced Find -> I paste in the subject of a calendar item in quotes and press find now.  It finds the calendar item.

What Dosent work - In Outlook click "Archive Explorer" -> Click my root node on the left -> then click search.  In the messages tab I choose "Subject Only" then paste in the subject.  Then on the "In Folder" tab I check the box "And Subfolders", click Go and don't get any results.

Well there is no difference between the Outlook Archive Explorer and the IE Archive Explorer - I mean they're the same.

Hmm... I tried both of the searches as you described and they both work for me (but I am not trying a calendar item)

I just tried what didn't work as described above but instead surrounded the search term in quotes, and it worked.  I guess I'll need to read up on the different ways to search and how search terms are handled.

My main problem is fixed - simple as hitting refresh.  Thanks!

Yep that 'refresh' thing can be really annoying, especially during testing.
