We have purchased the Public Folder license, but we are struggling to get our arms around what retention period to assign. Our Public Folders are enormous with some 550,000 items and with no easy way to determine ownership (one report was 16000 pages long on folder permissions). By way of background, we use so called "drag and drop retention" where end users basically drag E-mails into, say, a folder in Outlook called "18 Month Retention". As far as Public Folders are concerned, some options include:
1. Make the entire Public Folder structure from the root 18 Month Retention, which worries our legal department that something that should have been saved will be deleted.
2. Create high level root folders like the 18 Month Retention representing each different time frame. The problem here is that we fear end users trying to skirt the intention of the policy will basically migrate their mailbox buried 12 levels deep under a folder called "Permanent Retention".
3. Just make the entire Public Folder permanent retention and take the risk.
How have you addressed this in your firms? Any creative ideas?
