Opening archive emails in a public folder that is not being archived

Hi all,

I'm running EV 9.0.4.

I have some public folders on my Exchange. They are not being archived by EV. Only mailboxes are being archived. Some users move emails to these public folders. Some of these emails has been previously archived. Another user with permissions on a specific public folder wants to open an archived email that has been moved there, but he can't open the email because only the owner can do it. He is asked for a login/password.

What can I do?

Unfortunately there isn't too much you can do.  User education is something you can focus on.  Make sure that users aren't moving shortcuts into the PF.

When a user tries to open a shortcut in a PF it will generate an Error in the EV Server Event Log.  You can track those and notify the user in the Event that they need to remove their shortcut and then restore the message before copying it back.

You could look to engage a partner to write you a custom solution if you have budget for it.

The reason you are being asked for a Password is because the shortcut is accessing the Archive of the user from whom it was originally archived (User1).

You have 4 options:-

1) Give the required logon credentials to those that need it for User1 -  NOT RECOMMENDED FOR OBVIOUS REASONS

2) Grant Read permission to the Mailbox of User1 for all those users that need access to those archived items - Not the best choice but will get the job done as the permissions will automatically sync to the Archive

3) Manually grant permissions to the Archive of User1 for those that need access to those archived items - Probably the better of the first 3 options but still leaves holes in security

4) Restore a copy of the original mail to the PF and dont use a Shortcut, this will ensure all users are accessing the actual mail rather than a shortcut pointing to the Archived mail in the Archive - As Tony says above  -  Probably the best option out of all of them if security is of any concern
