Retention for Sent Folder on Mailbox is only 2 weeks.. people are missing email in Sent on their Archive

So we have the 90 day archive policy set up for our litigation hold folks. The problem appears that we have a 2 week retention for our Sent folder in their mailbox.

 

We're seeing that when people check the Sent folder on their archive, that it's only displaying emails that are 90 days old or older. So there's a huge gap of 15th day emails and the 89th day emails.

 

Does the vault hold these emails until the email is 90 days and then present it to them? If so, is there any way to get the vault to show those emails sooner rather than waiting the 90 days?

If you have a two week retention policy on the sent items folder then they would never get archived on a 90 day policy. Are you saying that you dont have a policy (Either Exchange managed folder/retention policy or an EV policy set with EVPM) on the sent items folder but they are dissapearing? Are items even being archived in the sent items folder? So if you looked tomorrow, you'd have new archived messages? It just doesn't make sense unless I'm not understanding how you're describing the problem. You might check the properties of the Sent Items folder in Outlook (right click > properties > Enterprise Vault tab) and see there is a policy applied that you're not expecting to see.

We have a 6 month retention for normal inbox items and a 2 week retention for sent, this is for the retention policies that we pushed through Exchange.

 

what we're seeing is that when people sign into their archives and then look at the sent folder, they are seeing emails that are 90 days old, or from late august/early september.

 

So you're saying if an Exchange retention hits a mailbox first, the vault will never archive those emails since they aren't 90 days old?

It depends on what the retention tag in Exchange is set to do. If it's set to delete the item, then there is no item for EV to archive. What is the retetion tag set to do?

It sounds to me like you should be using EVPM.exe to set some custom Enterprise Vault archiving strategy on the Sent Items folder for these users, not Exchange retention policies.
