Exchange quota questions

I have below specifications in my environment:

- small quota (300MB)

- delete shortcuts in folders after 3 years

- archiving strategy: both age and quota (60%)

Two questions:

1. Which one takes priority the age or quota? (assuming quota)

2. What is the behaviour when the quota reaches the threshold and there are only shortcuts in the mailbox (younger than 3 years)? Are they getting deleted automatically? What do you suggest in such situations?

When using age+quota the logic used by EV should be the following:

- Archive all Elements which are qualified by the "Archive items when they are older than..." setting

- If after that the desired quota is not yet met continue to archive more elements, but to NEVER archive elements which are qualified by the "never archive itemy ounger than..." setting

So if you have the last setting configured to 2 weeks and the mailbox received more than 180MB in Data (60% of 300MB) ev will be unable to reach the quota target.

Quota will be enforced to try and keep you mailbox under your exchange quota.

If you run a report mode against a mailbox it will actually tell you how much space the shortcuts are taking up.  If you do find yourself not able to archive enough mail because of the quota you going to either have to delete the shortcuts sooner or raise the Exchange mailbox quota.

 

What are you using for shortcut content?  Hopefully not full message body....

Thanks, Tony. For the shortcuts we are using 1200 characters of the content only.

So basically, it won't delete shortcuts automatically when reaches the quota, but we need to manually increase the quota or decrease the shortcut deletion period within EV. Is that true?

Also, I've noticed that, even though our EV is set to archve when the mailboxes reach 60% of the quota there is a maiboox that has 70% (right click on the mailobox in outlook/size). This means that there is something wrong with the archiving for that mailbox, isn't it?

You are correct, EV will not automatically remove shortcuts if they are using too much quota.

 

For your mailbox that is at 70% of quota a variety of things could be at play.  First thing is to run in report mode against that mailbox.  You can also look at what your archive rules, do you archive unread items?  What is your Never archive items younger than set to?  It could be EV can't archive enough to get it under the quota because of those settings.

As Simon states below, I forgot to say that aged items will be archived regardless of Quota.
